How do employee leave changes (extending, adding, canceling) appear on the Leave Export?

Quick answer
Employee changes to leave time show up differently on the Leave Export depending on the type of change. Extending or shortening a leave keeps the row's Approved status and shows the pending change in the Notes. Adding a new block creates a new row starting as Pending. Canceling a leave shows a deletion request in the Notes — if approved, the row disappears from the report.

- You are an HR user at a Tilt customer.
- You're reviewing the Leave Data Export (Leave Export) for one or more employee leaves.
Steps
When an employee extends or shortens a leave:
- The employee adds or removes dates within an already-approved block of leave.
- On the Leave Export, the Leave Time Status stays Approved (because the original block is still approved).
- The requested change appears in the Leave Status Notes column, showing the new dates being requested.
- Once the request is approved or denied, the row updates to show the correct dates in the Time Off Start Date and Time Off End Date columns.

When an employee requests a new block of leave:
- The employee adds a new block of leave time to their existing leave plan.
- On the Leave Export, this appears as a new line on the report.
- The initial status of the new block is Pending.
- Once reviewed, the status updates to Approved or Denied.

When an employee cancels a leave (requests deletion of leave time):
- The employee requests to cancel an already-approved block of leave.
- On the Leave Export, the Leave Status Notes column shows: "The employee has requested the deletion of this time."
- If the deletion is denied, the row continues to appear with the previously approved leave time.

- If the deletion is approved, the row no longer appears on the report — the time has been removed from the leave.

What if it doesn't work
- If a new block of leave you expected to see isn't there, verify that the employee's request has been submitted. New requests only appear once submitted.
- If a canceled block of leave still appears on the export, the deletion may not have been approved yet. Check the Leave Status Notes column.
- If a leave date change looks wrong on the export, refresh your data source and re-export.
Limits and exceptions
- Extensions and shortenings update the existing row rather than creating a new one.
- New leave blocks always create a new row on the export.
- Canceled blocks disappear from the export once the deletion is approved — the report is not a history of everything ever submitted, just what's currently active or under review.
