How do I invite a new employee to Tilt?

Three ways in, one destination — invite from the dashboard, during a leave entry, or with a direct activation link.

Overview

As an HR user, you have three ways to invite a new employee to create their Tilt account. All three workflows accomplish the same thing, getting your employee set up with a Tilt account, so you can choose whichever fits best into your process.

Option 1: Invite an Employee from the Admin Dashboard

  1. Click on the Invite Employee button located in the upper right-hand corner of the admin dashboard.
  2. Enter your employee's details (Employee first & last name, work email, and an optional Employee ID) and click Send Invite.

The employee will receive an email asking them to create their Tilt account.

Option 2: Invite an Employee While Entering a Leave

You don't need to invite an employee separately before entering a leave on their behalf. When you initiate a leave for an employee, Tilt will send them an invitation as part of that process.

  1. Click on the New Leave button.
  2. Enter your employee's details as part of the leave entry process. If you have an integration with Tilt, these details will flow into the leave entry automatically.

The employee will receive an email asking them to create their Tilt account, just as they would with Option 1.

Option 3: Send an Employee Their Custom Activation Link

Each employee in Tilt has a custom activation link that can be sent to them directly to create their account. Your custom activate link is your company’s custom domain.hellotilt.com/activate

Prerequisite: To use this workflow, your employee data must already be loaded into Tilt, including each employee's first name, last name, and email address. Employee data can be loaded into Tilt via one of the following methods:

  • API integration
  • SFTP
  • Manual upload

Once your employee data is in the system, you can send each employee their custom activation link to create their Tilt account.


Once a user is invited to Tilt via any of these workflows, they will have the ability to [Submit their own leave request].

What If It Doesn't Work?

The employee didn't receive their invitation email. Ask the employee to check their spam or junk folder and search their inbox for an email from Tilt's no-reply sender address. Then verify the email address entered for the employee is correct — a typo in the email address is the most common cause of a missing invitation.

The employee's activation link isn't working. If the employee reports that their link is expired or invalid, resend the invitation so they receive a fresh link. If the issue persists, [Resend a Welcome Email].

You can't find the employee's custom activation link (Option 3). Confirm your employee data has finished loading into Tilt. If the employee's first name, last name, and email address haven't been added via API integration, SFTP, or manual upload, their activation link won't work otherwise.

The employee says they already have a Tilt account. Check the Employee tab before sending a new invitation. If the employee already exists in Tilt, inviting them again with a different email address can result in a duplicate account.

Limits and Exceptions

  • Only users with HR permissions can invite employees to Tilt.
  • Option 3 (custom activation link) is only available for employees whose data has already been loaded into Tilt. If your organization doesn't use an API integration, SFTP, or manual uploads, use Option 1 or Option 2 instead.
  • If your organization has an integration, invite employees using the same email address on record in your HRIS. If an employee already exists in Tilt under a different email address than the one in your integrated system, the integration will create a duplicate account for that user.
  • Invitations cannot be sent to employees who have been deactivated in Tilt. If a returning employee needs access, contact Tilt Support to reactivate their account first.
