What is a cohort in Tilt, and what does it control?

One setting, four controls — cohorts shape who sees what across access, notifications, exports, and dashboards.

Quick answer

Cohorts control which employees your HR Users, HR Users: View Only, and Payroll Users can access — their dashboards, notifications, reports, and payroll exports are all scoped to their assigned cohorts. HR Users and Payroll Users can see and manage the employees in their cohorts; HR Users: View Only can only view them.

Steps

Cohorts control four things in Tilt:

  1. Who you can access — HR Users can view and manage the employees in their assigned cohorts; HR Users: View Only can view them (no changes); Payroll Users see their cohorts' payroll data.
  2. Notifications — Users receive updates only for their assigned cohorts.
  3. Payroll exports — Payroll data can be filtered by cohort.
  4. Dashboard filters — The HR Dashboard, Leave, and Employee pages can be filtered to show cohort-specific data.

What if it doesn't work

  • Missing employees from your view? Your cohort assignment might not include them. Ask an HR Admin to check your cohort membership.
  • Cohort data looks out of date? Employee-to-cohort assignments maintained by file are updated by uploading a new Employee Demographics file. Check when the last file was uploaded.

Limits and exceptions

  • Cohorts scope HR User and Payroll User access. They don't limit HR Admins or Payroll Admins, who always have company-wide access.
  • The cohort's Name is used to match records in file uploads and file feeds. Renaming a cohort can break that match.
  • If your company uses the Workday integration, complete the integration before finalizing cohorts. You can test your cohort and Employee Demographics files before the integration is complete.
