What pay and payroll data does Tilt send to Rippling, and why might the numbers not match between systems?

Pay and PTO flow to Rippling automatically — here's why the two systems' numbers won't always match exactly.

When you publish a pay calculation for a leave plan, Tilt sends the pay and paid-time-off (PTO) data to Rippling — but Rippling, not Tilt, is the source of truth for the employee's final payroll amount.

Steps

  1. Publish the pay calculation for a leave plan in Tilt.
  2. Tilt sends the pay data to Rippling. Rippling combines Company Paid Leave, Company Unpaid Leave, Rippling Holiday Pay, Rippling Vacation Top-Up, Rippling Personal Time Top-Up, Rippling Sick Time Top-Up, and any Pay Adjustments into one number — the Leave Payment Amount.
  3. Tilt also sends Leave Time, calculated in hours. Rippling recalculates this into days and displays it in the Time-Off app under "Requested Leave."
  4. Rippling processes payroll using that data alongside its own wage calculations.
  5. Once payroll is approved and processed, Rippling updates the employee's PTO balance to reflect time used.

What if it doesn't work

  • Someone manually changed time or pay directly in Rippling for an employee on active leave? That change won't sync back to Tilt, and Tilt overwrites it on the next weekly sync — causing a pay discrepancy. Don't add manual time entries in Rippling for anyone on active leave.
  • The Hours column in Rippling's Earnings table looks wrong for someone on leave? Ignore it. It doesn't accurately represent hours for employees on leave, even though the pay data behind it is correct. Check the Time-Off app instead for accurate leave time and duration.
  • Rippling's total earnings don't match Tilt's payroll report? This is usually a pay adjustment. Rippling bundles adjustments into the period's total pay instead of breaking them out; Tilt shows the adjustment as a separate line item. Compare the two to reconcile. If enabled, Rippling's optional custom column "Salary adjusted due to unpaid leave" on the Earnings table also shows this breakdown.
  • A pay period already closed, then something changed that affects pay? The adjustment shows up on the next pay period instead of the closed one. Adjustments spanning multiple pay periods get batched together into a single adjustment.
  • Employee wages look slightly different between the two systems? That's expected. Tilt's wage numbers don't push to Rippling — Rippling is the payroll system of record and has the more complete wage calculation.
  • Need to change a pay schedule, work schedule, or salary for someone on active leave? Do this only if necessary — it requires a manual pay calculation, and you'll need to pay the employee manually for the rest of their leave. Wait until they return if you can. If you can't wait, contact Tilt Support to work through the calculation together.

Limits and exceptions

  • Rippling payroll is the source of truth for pay amounts in every case except PTO usage, where Tilt's numbers take priority.
  • Manual or custom time entries added in Rippling for someone on active leave do not sync to Tilt and will cause a discrepancy.
  • Tilt only reads balances for and applies Rippling's standard PTO items: Sick, PTO, and Jury Duty. It can't check or integrate custom PTO items.
  • Whole-day PTO must be logged in Rippling. It only syncs to Tilt if it falls within a pay period that includes leave time.
  • PTO used to top up leave pay (for example, alongside short-term disability) works differently: Tilt adds it as a top-up item and pushes both the pay and the updated PTO balance back to Rippling.
  • Payments from third parties, like disability providers or state benefit programs, don't sync between systems — unless the employer administers that benefit directly.
